CF07-S12: AI Personal Data Awareness Training

AI Control Library / CF-07: Human Oversight & Escalation

Designation: Supplemental | Control types represented: Operational

Control requirement

Train personnel to recognize personal information and privacy-sensitive AI processing, follow approved handling and respond appropriately to rights requests, unintended disclosure and new uses.

Why this matters

People may recognize names as personal data but miss inferred traits, free-text context or linked embeddings. Privacy awareness should address the information AI can generate as well as the content users intentionally supply.

How the control types work together

Operational controls establish the assigned responsibilities, review processes and response decisions described here. Their effectiveness depends on performing the work and using evidence to guide action, rather than approving a document alone.

When it applies

Personnel supplying, viewing, transforming or sharing personal information through AI workflows.

Define the assessed boundary, dependencies and evidence limitations. Tailor depth and review frequency to potential impact, and document why a particular safeguard or exclusion is appropriate to the actual deployment.

Ownership

The privacy awareness owner maintains content with data and system specialists; managers support role-specific application.

Implementation guidance

  1. Explain relevant personal and inferred information using role-specific examples without collecting unnecessary staff or customer data.
  2. Teach approved purposes, minimization, tool choices, sharing and retention expectations.
  3. Provide clear routes for rights requests, uncertain uses and mistakes, avoiding improvised legal answers by ordinary users.
  4. Assess scenarios and refresh after workflow changes, complaints or incidents that reveal misunderstanding.

How to verify it

Use representative records and authorized controlled tests. Identify the relevant version, operating conditions and expected result before testing, and retain enough evidence to support the conclusion.

Test Expected result
Present a sensitive inference scenario Staff apply appropriate handling rather than relying only on visible identifiers.
Receive a rights request in an exercise It reaches the authorized privacy process.
Inspect an unintended disclosure scenario Staff report promptly and preserve appropriate context.

Record a finding when required results cannot be demonstrated or practice differs materially from the approved conditions. Missing evidence limits the conclusion; it should not be treated as a successful test.

Evidence to retain

  • Privacy learning objectives
  • Role scenarios and materials
  • Participation and assessment
  • Refresh and improvement records

Protect evidence according to its sensitivity, access needs and retention rules. Avoid unnecessary copies of personal information, secrets or confidential material, while preserving the records needed for authorized review.

If the control fails

Escalate uncertain processing or possible exposure to privacy and security teams. Restrict the affected use while qualified owners determine the appropriate response.

Example in practice

Hypothetical example: A user asks AI to infer health status from employee comments. Training prompts a purpose and privacy review instead of treating the absence of an explicit diagnosis field as proof the task is harmless.

Review and maintenance

Review at the interval approved by the control owner and after relevant changes, incidents or failed assessments. Update affected procedures and configuration, address evidence gaps and verify corrective action before closing findings.
